Booking Terms and Conditions
Please read these Booking Terms and Conditions carefully. They apply to every booking, and booking a stay with us means that you accept them.
It is the responsibility of the Party Leader to make sure that all guests staying at Lunshaw House comply with these Booking Terms and Conditions.
For peace of mind, we strongly advise you take out comprehensive travel insurance to cover cancellations. If you choose not to, you accept responsibility for any loss you may incur due to your cancellation.
1. Your Booking
Your booking is made as a consumer, and you acknowledge that no liability can be accepted for any business losses howsoever suffered or incurred by you.
Bookings cannot be accepted from persons under 18 years of age.
When we issue our written confirmation to you, we enter into a contract with you, the Party Leader, which is subject to these Booking Terms and Conditions.
Any dispute or query will be between the Party Leader and Lunshaw.
We have the right to refuse any booking prior to the issue of our written confirmation. If we do this, we will tell you in writing and promptly refund any money you have paid.
When you receive your confirmation, please check the details carefully. If anything is not correct, you should tell us immediately.
You may not add to the party size stated on your booking without prior consent from Lunshaw.
If you or any member of your party have specific personal requirements (including but not limited to requirements in respect of the services, utilities and facilities of Lunshaw House), please discuss these with us before making your booking. We will do our best to accommodate you, but we will not be responsible for any specific personal requirements that have not been brought to our attention before the booking was made.
2. Paying for your Accommodation
A deposit of 50% of the booking price is payable at the time of booking.
At this point your booking becomes binding and we will confirm your booking.
Payment of the deposit signifies your acceptance of these Booking Terms and Conditions. The deposit is non-refundable and non-transferable.
The balance of the booking cost (plus any additional pre-agreed charges) must be received by us no later than 30 days before your arrival date and, once paid, is non-refundable. Lunshaw reserves the right to cancel any booking where payments have not been received at the appointed times.
For all bookings made within 30 days of the start date, the full rent, plus any pre-agreed additional charges, must be paid at the time of booking. All payments made to Lunshaw within 30 days of arrival are non-refundable and non-transferable.
Payments (including the security deposit) can only be made by the Party Leader, in one transaction for the deposit or balance, [by card through our online booking system, or by BACS for exclusive hire bookings].
We strongly recommend you take out Holiday Cancellation Insurance.
3. Damage Deposit and Damage to Property
A security deposit of [AMOUNT] is payable [1 to 2 weeks] before your booking is due to start. If during your stay there are any breakages, damage or extra cleaning caused to the property or its contents by the Party Leader or any member of the party, the Party Leader should report this to Lunshaw as soon as possible.
The Party Leader undertakes and agrees to reimburse Lunshaw for all reasonable costs it incurs repairing the damage or, if applicable, replacing the item(s) damaged or broken. Each item will be charged individually.
The Party Leader shall be deemed to have forfeited the security deposit if:
- During the stay there are any breakages or damage caused to the property or any furniture (including by moving it), equipment or utensils, either within or outside the property.
- The property is left in an unreasonable state.
- Keys are lost or not returned. Please note there will be a charge for a locksmith if necessary.
- There are excessive or long distance telephone charges.
- There is neglect of or damage to the property.
- The property requires additional cleaning beyond what would reasonably and normally be expected after departure.
If there is no damage to the property or items within or around it, the security deposit will be repaid or released within 2 weeks of departure.
4. Changes to a Booking
If you need to cancel your booking, you must contact us in writing as soon as possible and at least 14 days before your arrival. The booking deposit is non-refundable under any circumstances. Balances paid are non-refundable within 30 days of your arrival date.
We STRONGLY RECOMMEND that you take out suitable travel or holiday insurance to cover every eventuality where you are forced to cancel, as these Booking Terms and Conditions are non-negotiable.
Once made, the date of your booking may not normally be changed, except at the discretion of Lunshaw. If you wish to change the booking date, you will have to cancel the original booking and the normal cancellation policy will apply regardless of any subsequent booking made.
Lunshaw reserves the right to amend prices on the website due to errors or omissions. Such changes will be notified to the guest as soon as possible, and the guest may change the booking with a refund if the amended price is significantly higher than the original price quoted.
Any charges raised against Lunshaw by its bank for handling failed or returned payments will be passed on to the Party Leader, who is liable to reimburse them. International payments made by the Party Leader that incur banking fees must be paid by the Party Leader.
5. Cancellation of a Booking by Us
If we must cancel your booking in advance for any reason, you will be offered a refund of the full amount of the booking. If we must end your stay early due to unforeseen circumstances outside our control, you will be refunded for the remaining part of your stay. No additional compensation will be payable. As advised above, for peace of mind we strongly advise you to purchase Holiday Cancellation Insurance.
If your booking is affected by any government restrictions, we will offer you a full refund or a change of dates.
6. General (please pay particular attention to this section)
The contractual relationship is between Lunshaw and the Party Leader.
If for any reason beyond the control of Lunshaw the property is not available on the date booked (for example, owing to fire damage) or becomes unsuitable for let, all rent and charges paid in advance by the Party Leader will be refunded.
The contract to occupy the property is made on the basis that the property is to be occupied by all guests for a holiday or a previously agreed event (as mentioned in the Housing Act 1988 Schedule 1 paragraph 9 or similar legislation in other jurisdictions).

This means that in the event of an act of God, flood or other natural occurrence, epidemic or pandemic, terrorist attack, war or civil commotion, labour or trade dispute, non-performance of any of our suppliers, or interruption of services, we reserve the right to cancel your booking before or during your stay. If we cancel your booking due to Force Majeure before your stay, you will be offered alternative dates or a full refund. If Force Majeure occurs during your stay, you will not be entitled to a refund.
Any dispute, claim or other matter arising in relation to your booking will be governed by English law, and you agree that any dispute will be dealt with exclusively by the courts of England and Wales.

There may be small differences between the accommodation and its description, as we are always seeking to improve our services and facilities. Should any facilities or services become unavailable, we will tell you as soon as possible after we become aware. We cannot accept responsibility for any changes or closures to local amenities or attractions mentioned on the website or advertised elsewhere.
10. During your Stay
You can arrive at Lunshaw House after 4pm on the start date of your stay and you must leave by 10am on the day of departure, unless previously agreed.
Lunshaw is entitled to refuse to hand over to you, or to repossess, the property if we reasonably believe that any damage is likely to be caused by you or your party. We can also repossess the property if damage has already been caused.
You cannot allow more people than you have booked to stay in the property.
You may not carry out any form of trade or business from the property, nor may you sub let any part of the buildings.

11. The Guest’s Obligations
The Party Leader agrees and is responsible for the following:
- To take good care of the property and leave it in a clean and tidy condition at the end of the stay. A cleaning service is not provided during the stay unless requested, agreed and paid for in advance. Should Lunshaw be dissatisfied with the condition of the property once vacated, we may refuse to take a booking from any member of the party again.
- To permit Lunshaw reasonable access to the property and not to part with possession of the property, or share it, except with members of the party shown on the booking.
- Not to sell or transfer the booking to another party without Lunshaw’s agreement.
- To declare the number of guests at the time of booking and notify any changes before arrival, for which there may be an additional charge.
- Not to exceed [MAXIMUM] guests. A cot may only be occupied by a child aged 24 months or under.
- Not to bring in external suppliers or caterers without prior agreement with Lunshaw. [A private chef of your choosing may be arranged only when hiring the whole house or The Barn.]
- Not to hold any event, including parties, unless by prior agreement with Lunshaw.
- Not to cause annoyance or become a nuisance to occupants of adjoining properties.
By accepting our Terms and Conditions, you agree to acknowledge and adhere to the following house rules during your stay.
Working farm and estate. Lunshaw is a working farm, and shooting takes place in season. Please keep all gates closed at all times, keep to paths and follow any signage or instructions from the estate team. If gates are left open and stock get into the gardens, the cost of rectifying any damage will be charged to the Party Leader.
Gardeners. We need to keep on top of the gardens during the summer months, so you may see a gardener during your stay.
Time keeping. You can request to arrive later or depart earlier than the allocated times. However, we cannot confirm early arrivals or late departures unless there are extenuating circumstances. Our housekeepers need the entire allocated time to prepare the property for each stay. There will be a charge for any delay in departure that prevents the cleaners accessing the property at departure time.
Décor. No glitter, confetti, balloon water bombs, paper lanterns or fireworks. No sticking of decorations on walls, doors or windows. Please do not move any furniture. Any repairs required as a result will be charged in full.
Noise levels. Please be respectful of noise and music while staying at the property. All music must be turned off by 11pm.
Our insurance. No suppliers unless pre agreed with Lunshaw. No events without prior agreement. The number of guests staying must be declared at booking and any changes notified before arrival. Any guests over the permitted capacity of the house will be asked to leave.
Deliveries. Please do not arrange grocery deliveries before your arrival time, as we cannot be available to receive them.
Lost property. Should you leave items behind, there will be an admin charge of [£20] plus postage for any returns.
Pets. Pets are not permitted, with the exception of assistance dogs by prior arrangement (see section 7).
Car and vehicle charging. For insurance reasons, guests must never charge a vehicle using a standard outdoor plug or an extension cable linked to a domestic socket. This is not permitted because of regulations regarding wiring, earthing and voltage; it poses a serious fire risk to standard 13 amp sockets, and there is a real danger that the body of the vehicle could become live. Under no circumstances may any guest charge an electric vehicle (EV) via a domestic socket. [EV CHARGING AVAILABILITY ON SITE, IF ANY.]
Keys. There will be an admin charge of [£20] plus the cost of key cutting for the replacement of any lost keys.
12. General
Lunshaw will not be liable for any act, neglect or default, nor for any accident, damage, loss, injury, expense or inconvenience, whether to person or property, which the guest or any other person may suffer or incur arising out of, or in any way connected with, the rental. In addition, Lunshaw accepts no liability for loss of or damage to the guest’s possessions on Lunshaw’s property or land.
Nothing in these clauses excludes or limits the liability of Lunshaw for death or personal injury caused by its negligence, or for any matter for which it would be illegal for Lunshaw to exclude or attempt to exclude its liability.
We use all reasonable endeavours to keep the information you provide private and to comply with all applicable data protection legislation. Your information is not disclosed to any other party unless we are legally obliged to do so. Please see our Privacy Policy for full details.
For the avoidance of doubt, any correspondence or communication from Lunshaw, whether by email, WhatsApp, text or any social media messaging platform, is always subject to contract and to these Booking Terms and Conditions.
